Privacy notice

This notice explains how the Aqua Champs League Fest (ACLF) check-in app uses swimmer information. It applies to the day-of check-in only.

What we use

Swimmer name, the last 4 digits of IC/passport (used only to confirm identity at check-in), age group, coach/team, event/heat/lane, guardian contact, and the check-in time. We do not store full IC/passport numbers or full dates of birth.

Why we use it

Solely to run day-of check-in and marshalling for the swim meet.

How long we keep it

Check-in data is deleted within 7 days after the event.

Usage and error logs

For troubleshooting we also keep short-lived, mostly-anonymous technical logs (usage and error data, never names or birthdates). In rare failure cases a log entry can be linked back to a swimmer to help us fix a stuck check-in. These logs are deleted within 7 days.

Where it is processed

The app runs on cloud infrastructure (Supabase and Vercel) that may be located outside Malaysia. We keep the data we collect to the minimum needed for check-in.

Your choices

To ask about, correct, or delete a swimmer's details, speak to a team member at registration or contact the ACLF organisers.
